Role OverviewThe Financial Operations Specialist will be responsible for revenue processing, receipting, client account administration, electronic claiming, and credit control within our Independent Living Units (ILU) and Health department.
This permanent full-time position is based at St Leonards, offering flexible working arrangements, including hybrid options. The successful candidate will provide operational support, assist finance team members, and develop strong relationships with stakeholders to achieve corporate goals.
Key Responsibilities- Prepare, review, and process fortnightly invoicing and billing for resident fees and sundry charges, as well as direct debits for ILU residents.
- Generate and process monthly billing for Deferred Management Fees (DMFs) for ILUs.
- Reconcile DMFs for ILUs, process refunds upon discharge, and maintain accurate records.
- Process internal funds transfers within ILUs and between ILUs and Residential Care using Epicor.
- Produce resident statements/invoices for ILUs.
- Collaborate with the Management Accountant - ILUs for approvals on fortnightly fees billing, monthly DMF billing, write-offs, and refunds, and provide comments for debtors reporting when necessary.
- Create, maintain, and transmit client information within various systems, including Epicor, FYDO, SUN, and health fund portals, focusing on admission, discharge, and reconciliation of ILU residents.
- Accurately receive accommodation and medical billing in FYDO.
- Action aged debtor reports for ILUs and Health, aiming to reduce average aged debts.
- Maintain the Redmap filing system for Health accommodation paperwork for completed paid files.
- Investigate and respond to account inquiries from staff, clients/residents/patients, financial representatives, and other third parties.
- Foster relationships and liaise with relevant business managers, staff, clients/residents/patients, and third-party organisations.
- Demonstrate commitment to aligning with HammondCare's Christian Mission, Motivation, and Mission in Action.
- Possess at least 5 years of experience in accounts receivable or a similar role.
- Exhibit intermediate computer skills, specifically MS Office (Outlook, Word, and Excel).
- Show proficiency in English, both written and oral.
- Demonstrate ability to work independently and as part of a team.
- Show commitment to working according to HammondCare's Working from Home/Office Guidelines and willingness to travel to local sites occasionally.
- Display ability to develop strong working relationships with stakeholders to achieve corporate goals.
- Illustrate strong administration, planning, and organisational skills, with the ability to prioritise tasks to meet deadlines.
- Demonstrate excellent analytical skills and attention to detail.
- Show empathy and patience.
- Possess an Australian Driver's licence and access to a car.
- Experience with SUN and Epicor Systems is desirable.
- Recent experience in the Health & Hospital and Aged Care Sector is desirable.
- Experience with Not-for-Profit organisations is desirable.
- Demonstrate knowledge and experience of the Retirement Villages Act 1999.
