Administrative Assistant

We are seeking an experienced and skilled administrative professional to support the smooth operation of our architectural practice.

This role involves providing essential administrative support, including managing front-of-house experience, coordinating schedules, and maintaining a well-equipped office environment.

The ideal candidate will have experience in a similar office administration or studio coordination role, possess excellent communication skills, and have intermediate to advanced Microsoft Office skills.

In addition, the successful candidate will have a demonstrated ability to work autonomously and as part of a team, and possess a sense of initiative, adaptability, and interest in expanding and learning new skills.

Key responsibilities include:

  • Managing the front-of-house experience, phone and email, ensuring a warm and professional welcome for all visitors and clients.
  • Coordinating schedules, appointments, and internal communications across teams.
  • Maintaining an organised, well-equipped, and presentable office environment.
  • Premises management: Overseeing office suppliers, repairs & maintenance, cleaners and shopping for office/ kitchen provisions.
  • Liaising with suppliers to organise office visits, presentations and office library management.
  • Troubleshooting for office & Staff, Roll out of system updates/ product changes/updates as well as being the conduit between staff and the IT provider.
  • Supporting team needs, including preparing documents, subscription management, Architectural registrations, proposals, contracts and general administration.
  • Accounts payable & receivable administration such as monthly invoicing, payment follow up and processing Supplier Invoices.
