About the Role

We are seeking a highly organized and detail-oriented Team Assistant to join our Group Finance team at Westpac Group. As a key member of our team, you will be responsible for providing administrative support to our Leadership Team and ensuring the smooth operation of our office functions.

Key Responsibilities
  • Coordinate and manage the diaries of Heads of and cover the Executive Assistant role as required
  • Coordinate team and external guest meetings, including managing invite lists, agendas, and minutes, meeting room bookings, and setup of materials and catering as needed
  • Initiate and coordinate staff and other movements, including documentation, technology setup, security, and related accesses, timely onboarding for new starters, transfers, separations, and desk moves
  • Coordinate and organize final Board, Executive Team, and other Committee papers through to submission to Company Secretariat
  • Assist with GF Social Club activities and team social events
  • Coordinate COUPA data entry and coordination of invoices, payments, internal chargebacks, and reimbursements
  • Track mandatory team training, leave balances, goals, and performance review activities to timely completion
  • Book travel and accommodation
  • Update and maintain distribution and group lists, birthdays, and anniversaries

Requirements
  • Prior team coordination experience is essential
  • Intermediate MS Office skills (Word, PowerPoint, and Excel) are required
  • A positive attitude and resourcefulness are essential
  • Excellent oral and written communication skills are required
  • Strong planning and organizational skills, with the ability to manage multiple tasks at any given time, are essential
  • The ability to work collaboratively with staff and clients at all levels, including on confidential and sensitive matters, is required
  • A working style that is team-oriented and flexible, with the ability to prioritize well during peak periods, is essential
  • Strong attention to detail, with the ability to follow procedures and produce high-quality output, is required
  • Proficiency in expense management processes or systems is essential
