About the Role

We are seeking a highly organized and detail-oriented Board Coordinator to join our Company Secretariat team at Insignia Financial. As a key member of our team, you will provide administrative support to our Company Secretaries and other stakeholders, ensuring the smooth operation of our business.

Key Responsibilities
  • Meeting Coordination: Prepare and coordinate board and committee meeting agendas, minutes, and supporting documentation.
  • Administrative Support: Provide administrative assistance to Company Secretaries, including preparing meeting materials, coordinating travel arrangements, and maintaining confidential records.
  • Communication: Develop and maintain effective relationships with internal and external stakeholders, including board members, committee members, and other business partners.
  • Record Keeping: Maintain accurate and up-to-date records of board and committee meetings, including minutes, resolutions, and other relevant documentation.
  • Compliance: Ensure compliance with relevant laws, regulations, and company policies, including confidentiality and data protection requirements.
Requirements
  • Experience: A minimum of 2 years of experience in a similar administrative role, preferably in a corporate or financial services environment.
  • Skills: Excellent organizational and communication skills, with the ability to work independently and as part of a team.
  • Education: A degree in business administration, secretarial studies, or a related field.
  • Personal Qualities: A high level of integrity, discretion, and professionalism, with the ability to maintain confidentiality and handle sensitive information.
