About the Position:

Job Responsibilities
  • Handles banking tasks, verifying accuracy and completeness of financial records.
  • Manages costs for vehicle sales, maintaining up-to-date records to ensure precision.
  • Updates the sales log with critical details including customer information, vehicle specifications, and payment terms.
  • Calculates vehicle profits to ensure accurate financial reporting.
  • Prioritizes VicRoad transfers for sold vehicles, adhering to legal regulations.
  • Coordinates inventory management and sourcing new and used cars.
  • Oversight the registration process for all vehicles, following regulatory guidelines.
  • Processes vehicle payouts accurately, maintaining thorough records of transactions.
  • Utilizes Docusmarts for documentation and submissions.
  • Organizes files for easy access to documents.
  • Reconciles floor plan statements regularly.
  • Conducts regular book reconciliations to maintain accurate financial records.
  • Reviews Citylink statements, checks toll charges, and addresses any issues.
  • Manages the COD list to ensure timely payments are accurate.
  • Reconciles supplier statements and schedules payments.
  • Assists with weekly/monthly dealership reporting.
Requirements

About You:

  • Prior experience in an administrative role, preferably within a dealership environment.
  • Candidates with dealership experience seeking to transition from other departments are also encouraged to apply (training provided).
  • Exceptional organizational and multitasking skills with a keen attention to detail.
  • Strong written and verbal communication abilities to interact professionally with customers and team members.
  • Ability to work independently and autonomously.
  • Proficient in MS Office Suite (Word, Excel, Outlook); knowledge of dealership management systems is a plus.
  • Capacity to maintain confidentiality and handle sensitive information with integrity.
  • A friendly, positive attitude committed to providing excellent customer service.
  • A valid Victorian Driver's License is required.
