Job Description:

The ideal candidate will possess excellent organisational and prioritisation skills, with a keen eye for detail and the ability to maintain confidentiality of sensitive information.

  • Organise and maintain diaries, coordinating internal/external meetings to ensure optimal time management and anticipate next steps.
  • Support senior executives to ensure seamless workflow, efficiency, and productivity.
  • Provide finance support and cost tracking assistance.
  • Arrange travel and accommodation for trips to guarantee smooth and cost-effective execution.
  • Draft correspondence on behalf of senior executives as necessary.
  • Prepare meeting agendas, take notes, and circulate documents to ensure meetings run smoothly and efficiently.
  • Collaborate closely with Business Projects Manager and other team assistants on specific projects and assist with financial forecasting and contributor budgets.
  • Ensure office administration and organisation are maintained at a high standard.
  • Process expense claims and credit card statements as required.
  • Offer technical support and troubleshooting services.
  • Respond to event requests and host external events.

Required Skills and Qualifications:

  • Excellent communication skills at all levels, with the ability to network and forge strong working relationships across the business and externally.
  • Able to work to tight deadlines, juggle multiple priorities, and thrive in a busy and collaborative work environment.
  • Individual willing to learn and develop in a fast-paced environment. Previous experience working as a Team Assistant or Coordinator role is preferred but not essential.
  • Strong administration and computer skills, particularly a great working knowledge of Google Suite, MS Office, and Concur.
