Job Description

We are seeking a highly skilled and organized Medical & Dental Support Assistant to join our team at Karalta General Practice.

Key Responsibilities
  • Customer Service
    • Provide exceptional customer service to patients, responding to their needs in a respectful and unbiased manner.
    • Greet patients warmly and make them feel welcome, ensuring a positive experience.
    • Provide accurate and adequate information to patients about the practice, its services, and policies.
    • Record and convey messages accurately between patients and other staff members.
    • Respond to patient inquiries in a polite and efficient manner.
  • Appointment System
    • Manage the appointment system according to practice specifications, ensuring smooth and efficient scheduling.
    • Maintain effective communication with doctors throughout the day, ensuring seamless coordination.
    • Use initiative to intervene when necessary, ensuring appointments run smoothly.
  • Medical Record
    • Maintain patient confidentiality at all times, adhering to strict confidentiality protocols.
    • Manage the computer filing system, including archiving and maintaining accurate records.
  • Billing System
    • Process patient accounts, including Medicare, Veterans, Workers Compensation, and Private accounts.
    • Operate the Tyro machine, handling cash transactions and balancing the till.
  • Teamwork
    • Work collaboratively with the team, demonstrating respect and consideration for colleagues.
    • Communicate effectively with team members, ensuring seamless handovers and continuity of care.
    • Share responsibilities and tasks, maintaining a positive and supportive team environment.
Requirements
  • Competent in opening and closing the practice, including security protocols.
  • Proficient in using Pracsoft appointment book and billing system.
  • Skilled in handling money, balancing, and banking.
  • Experienced in taking telephone calls and messages, using a professional and courteous tone.
  • Knowledgeable in using fax machines, photocopiers, and other office equipment.
  • Able to sort and manage mail, both incoming and outgoing.
  • Competent in maintaining medical records, including filing and scanning.
  • Skilled in organizing pathology, including recording, pickups, and bookings.
  • Able to follow up with patients via the Medical Director's daily/weekly systems and work tray.
  • Knowledgeable in recording cold chain data and maintaining infection control protocols.
  • Able to maintain a clean and tidy surgery environment.
Qualifications
  • Strong customer service skills, with a courteous and compassionate approach.
  • Excellent organizational skills, with the ability to multitask and prioritize tasks.
  • Good general computer skills, with a working knowledge of Pracsoft.
  • Excellent communication and teamwork skills, with the ability to work collaboratively with colleagues.
Accountability

All reception staff are accountable to the practice partners, with Dr. Charters serving as the primary point of contact for liaison, feedback, and grievances.

Major decisions regarding staff are discussed and decided by consensus between the practice partners.
