Position Overview

We are excited to announce an opportunity for a dynamic role as our Events and Reservations Coordinator.

This position offers a blend of responsibilities, allowing you to engage in both Reservations and Conference & Events coordination. The role will typically involve approximately three days dedicated to Reservations and two days focused on Conference & Events, with flexibility based on operational needs.

In this role, you will report to the Meeting & Events Sales Executive and the Reservations Manager, and your key responsibilities will include:

  • Finalizing event details post-client contract confirmation
  • Processing final payments
  • Compiling event orders and conducting event order meetings
  • Managing administrative tasks related to events
  • Recording charges
  • Welcoming clients during their on-site visits
  • Drafting and sending proposals and contracts
  • Creating Group Masters and updating group information as it is received, including rooming lists and meal details
  • Following up on any outstanding information
  • Coordinating with other departments to ensure all group and special requirements are met
  • Ensuring all deposits are collected prior to guest arrival and that invoicing is completed promptly
  • Cross-checking accounts and finalizing or distributing final accounts
  • Sending reminders to clients as necessary
  • Monitoring all group reservations and liaising with clients to manage details in the reservations system

Candidate Profile

The ideal candidate will possess strong time management skills and the ability to handle multiple tasks simultaneously while maintaining a keen awareness of guest needs.

Your natural enthusiasm and exceptional customer service skills will distinguish you in this role. You should be confident in initiating conversations and have a solid understanding of hotel conferencing and events, along with the associated administrative processes.

Experience in both Front Office and Event environments is preferred, along with familiarity with a Property Management System (PMS) such as Opera.

Availability to work Monday through Friday, with some weekends as scheduled, is essential, as is the right to work in Australia.
