Conference and Events Coordinator

This role will play a pivotal team member in planning, organizing and overseeing the administration of conferences for our organization. The ideal candidate will have extensive knowledge of event management software, experience working with committees and strong organizational skills.

Key Responsibilities:
  • Manage conference secretariat duties, including agenda and minute writing for conference committees.
  • Assist conference committees with planning and administration of scientific and social programs, ensuring timely completion of program content, speaker confirmation, abstract reviewing and material submission.
  • Coordinate speaker communications, including abstract submissions, invitations, biography collection and other requirements.
  • Arrange travel, accommodation and necessary arrangements for keynote speakers, VIP guests and staff.
  • Setup and manage events database, utilizing expertise in Events Air software, including abstract submission, registration modules and report production.
  • Collaborate with third-party suppliers for travel, merchandise, accommodation, registration, speakers, exhibition and venue to ensure smooth delegate experiences.
  • Perform additional tasks as directed by the Conference Manager, within the scope and skills of the role.
Requirements:
  • Extensive knowledge of Events Air software.
  • Qualification or equivalent experience in conferencing and event management.
  • Exceptional organizational skills, including ability to develop and work to timelines.
  • Excellent written and verbal communication skills in various media.
  • Strong interpersonal skills, effectively dealing with diverse stakeholders.
  • Sound computer skills.
  • Flexible approach and problem-solving abilities.
  • Ability to work collaboratively as part of a multidisciplinary team.
  • Experience managing committee environments.
  • Customer service excellence.
  • Demonstrated ability to manage business relationships/stakeholder engagement.
