Job Overview

We are seeking a Planning Systems Analyst to manage and coordinate vendor and financial administration, as well as reporting for the Asia Systems Office Oceania team.

Key Responsibilities:
  • Financial Administration: Coordinate and support financial reporting related to vendors and projects, including accrual of invoices, statements, and end-of-financial-year processing.
  • Support budget forecasting and reporting on monthly actual spend versus agreed budget forecasts.
  • Process invoices and payment fulfillment for ASOO.
  • Administrative Support: Provide day-to-day administrative duties, including communications, facilities handling, business process execution, and policies adherence.
  • Facilitate communication within and outside the department, including room bookings, meeting scheduling, attendee follow-up, etc.
  • Project/Vendor Support: Collaborate with ASOO on vendor management process fulfillment, such as contract renewals, invoicing, compliance checks of IT service providers.
  • Support business process requirements across departments and branches.
  • Coordinate eProcurement plans with project managers and teams.
  • Execute cross-department procedures, such as business travel and outsourcing screening.
  • Manage expenses budgets, monthly reporting, and other periodic reports.
Requirements:

You will have 2 years of experience in administration and financial management, handling various tasks from internal stakeholders to external vendors. Previous experience in banking and finance is preferred but not essential. Strong attention to detail, ability to adopt new policies, and quick understanding of company policy and procedures are required. Good communication skills are essential for collaboration with internal and external stakeholders.
