
Healthcare Operations Coordinator

This is a key role within our healthcare services, supporting the smooth and efficient running of day-to-day operations.
- Scheduling appointments, managing waiting lists, coordinating patient admissions and discharges, and processing referrals efficiently.
- Performing administrative tasks such as typing, filing, scanning, photocopying, and managing incoming and outgoing mail.
- Maintaining accurate records of patient demographics, medical information, and health fund details within clinical computer systems.
- Monitoring and ordering non-clinical supplies, maintaining adequate stationery stock, and supporting the day-to-day running of the office.
- Providing exceptional customer service to patients, families, visitors, and staff, responding to inquiries with professionalism, care, and a patient-first mindset.
- Managing phone calls and emails, preparing agendas and taking minutes for meetings, and distributing internal and external correspondence.
- Working across various healthcare environments, including public and private hospitals, general practices, specialist clinics, allied health services, aged care facilities, and community health settings.
- Demonstrating clear, professional verbal and written communication to engage effectively with patients, colleagues, and healthcare professionals.
- Managing a busy workload, meeting deadlines, and prioritizing tasks in a fast-paced healthcare environment.
- Confidently using clinical systems, office software, and data entry applications.
- Exhibiting a warm, patient-centred approach with empathy, patience, and a commitment to providing a positive experience.
- Maintaining high accuracy in all data entry, record-keeping, and administrative documentation.
- Working collaboratively as part of a multidisciplinary healthcare team.
The successful candidate will have:
- A minimum of 5 years' experience in a similar role.
- A current Working with Children Check – Blue Card.
