The Accounts Receivable Specialist is a critical role in managing high-volume accounts receivable transactions for global auctions. This position requires ensuring outstanding receivables remain within established targets by adhering to approved processes and systems.

Responsibilities
  • Verify bid deposits and payments, ensuring timely processing and accurate reconciliation.
  • Upload auction transactions and enter accounting adjustments, including deductions, price adjustments, collapses, sales tax, and pilferage.
  • Process refunds for overpayments, bid deposits, collapses, price adjustments, and tax adjustments, maintaining compliance with authorizations and policies.
  • Generate invoices for customers, consignors, and inter-company subsidiaries, verifying accuracy and timeliness.
  • Assist sales sites in collections and reconcile customer accounts, investigating and resolving delinquencies, and notifying departments about pertinent receivable balances, adjustments, and holdbacks.
  • Analyze aging of accounts receivable and provide input to management for determining allowance for doubtful accounts (AFDA) per policy, identifying trends and areas for improvement.
  • Reconcile AR sub-ledger to general ledger; assist with month-end closing and reporting, and process monthly finance charges as applicable, ensuring accuracy and completeness.
  • Review sales site set-up to ensure correct inputting of tax and administrative fees, and research and respond to customer inquiries, maintain customer account information, and file paperwork.
  • Perform other duties as assigned, demonstrating flexibility and adaptability in a fast-paced environment.
Requirements
  • 2-3 years of prior accounts receivable experience, with a proven track record of success.
  • Customer Service experience preferred, with excellent verbal and written communication skills in English.
  • Flexibility and willingness to work varied hours and occasional overtime hours, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Experience working with ERP systems, with proficiency in Microsoft Excel, Word, and PowerPoint.
  • Excellent analytical and problem-solving skills, with the ability to analyze data and identify trends and areas for improvement.
  • Outstanding interpersonal skills, with the ability to build relationships and communicate effectively with internal and external stakeholders.
  • Demonstrated experience working well as a member of a team, with a strong sense of accountability and ownership.
