Customer Service Supply Chain Coordinator

Job Summary
The Customer Service Supply Chain Associate plays a vital role in the Chiesi Australia business, working closely with the Customer Service Supply Chain Manager to manage inbound and outbound orders, process and dispatch orders, and ensure timely deliveries in line with established KPIs.
Main Responsibilities
- Manage inbound shipments, including obtaining freight quotes, scheduling, and planning, to ensure proper handling, transport, and timely arrival.
- Establish and maintain strong working relationships with warehouse teams and supplier partners.
- Process and dispatch outbound customer orders accurately and efficiently using ERP systems.
- Liaise with local transport and distribution teams for outbound order tracking and escalating delivery-related issues.
- Review and process invoices, debit/credit notes, claims, and returns.
- Manage incoming calls and email enquiries, ensuring timely receipt, acknowledgement, and clear communication.
- Keep records of customer interactions, create or review new customer accounts, and file relevant documents.
- Analyse customer enquiries and direct them to appropriate internal departments.
Supply Chain Responsibilities
- Liaise with supplier partners and the Customer Service/Supply Chain Manager on stock requirements and purchase plans.
- Manage inventory levels, storage locations, movements, purchase order receipts, and master data.
- Handle product complaints and manage reverse logistics.
- Support reporting requirements for internal and external stakeholders.
Requirements
- 2-3 years' experience in an in-bound customer service role.
- Strong business acumen and knowledge of customer service, logistics, and supply chain.
- Working knowledge of ERP and inventory systems, with previous experience in SAP highly regarded.
- Strong working knowledge of Microsoft Suite.
- Ability to work in an environment with undefined problems and ensure acceptable solutions and outcomes.
- Excellent phone manner, teamwork, and computer skills.
- Accurate and skilled data entry.
- Ability to retain and recall important information.
- High aptitude for following communication guidelines, procedures, and policies.
- Ability to multitask, prioritise, and manage time effectively.
