Job Overview:

We are seeking a skilled and organized administrative professional to support our Project Management team in Sydney, Australia.

The successful candidate will play a key role in coordinating recall activities, working closely with project stakeholders to ensure effective communication and timely delivery.

This is an excellent opportunity for a driven individual with experience in administrative support and a passion for problem-solving to contribute to the success of our projects team.

Key Responsibilities:

  • Provide high-level administrative support to the Project Management team, ensuring seamless coordination of recall activities.
  • Maintain effective relationships with internal and external project stakeholders, including field service technicians, customers, and quality teams.
  • Design and supply detailed reporting on project status, collaborating with the Project Manager and stakeholders to drive progress.
  • Manage centralized project tracking systems, updating dashboard reports and circulating them for stakeholder review.
  • Deliver executive administrative support for admin functions such as travel, calendar management, and expense management.
  • Track project activities, risks, and outstanding actions, engaging project stakeholders as required.

Requirements:

  • Team player with a growth mindset, able to operate in a highly motivated and open feedback environment.
  • Positive, reliable, trustworthy, and proactive personality.
  • Highly organized with strong attention to detail and outstanding organizational skills.
  • Previous experience in a project-based administrative or support role in a fast-paced, high-volume environment.
  • Excellent computer skills (MS Office, Smartsheet, CRM tools).
  • Experience using Smartsheet or other project management software would be advantageous.
