About the Role

In this role, you will utilize your highly developed administrative skills to support the Training and Compliance Officer and drive professional growth and ensure compliance across the City Infrastructure Directorate. As a key member of our team, you will be responsible for delivering exceptional administrative and operational support to keep our training initiatives and compliance efforts running smoothly.

Key Responsibilities
  • Undertake a range of operational tasks including managing training requests and invitations, RTO reservations and coordination, screening day-to-day calls, training calendar management, coordination of records management systems (Rex), maintenance of systems including training and compliance matrices, and provide administration support to other members of the department as required.
  • Coordinate internal and external training/trainers including room preparation, course paperwork and necessary resources/equipment.
  • Act as the initial contact person for the Unit, directing enquiries as appropriate, including face-to-face, phone, and email enquiries.
  • Assist in the management of internal systems to ensure that operational and legislative requirements are met.
  • Prepare reports, correspondence, and presentations as required.
  • Attend and take minutes of training and compliance meetings.
  • Build relationships with key internal and external stakeholders of the department.
  • Assist in the coordination of the delivery of marketing and promotional activities.
About You

To be successful in this role, you will have experience within a training environment or workplace health and safety administration. You will also have:

  • Office administration experience, including organizing meetings or events.
  • Desire to learn and develop skills within the training and compliance space.
  • Well-developed research and problem-solving skills.
  • Highly developed computer skills with experience using Microsoft Office, Outlook, and document management systems.
  • Ability to effectively plan, organize, and manage your own time to achieve targets within a set timetable.
  • Victorian Car Driver's Licence.
  • Preferred candidates will be required to undergo a National Police Check and a pre-employment medical assessment as part of the recruitment process (funded by the City).
