Administrative Support Specialist

About the Role
We are seeking an experienced Business Support Officer to join our team in Dandenong South. As a key member of our administration team, you will provide essential support to our projects and operations.
Key Responsibilities
- Provide administrative support, including credit card reconciliations, vehicle bookings, employee reimbursements, and financial reporting.
- Manage office operations such as reception duties, meeting coordination, office supplies, and general maintenance.
- Oversee PPE and uniform orders while supporting systems like Simpro, including daily reporting and quote reconciliation.
- Coordinate purchase orders, track back orders, and manage project close-outs with financial reconciliation and documentation.
- Liaise with internal teams to support accounts, delivery teams, and compliance requirements (e.g., Dial Before You Dig).
- Deliver excellent customer service, responding professionally to inquiries and ensuring high service standards.
Requirements
- Qualifications in Business or Project Administration.
- Minimum of 3 years' experience in an administrative role.
- Current National Police Clearance and valid 'C' Class Driver's Licence.
- High-level customer relationship management, communication, and interpersonal skills.
- Proficiency in Microsoft Office Suite, with intermediate knowledge of office equipment and systems.
- Experience in diary and travel management, and strong time management skills.
Desirable Skills
- Experience in the utilities, construction, or resources industry.
- Knowledge of systems like Definitiv, Simpro, Gearbox, Business Central, and Felix.
- Ability to manage multiple tasks, solve problems, and meet deadlines effectively.
