About the Company: Our client is a boutique financial services firm, specialising in providing equity brokerage services to institutional clients.
About the Role:
We are seeking a highly organized and detail-oriented Office Administrator to support our senior Executive Assistant and provide general office support.
Key Responsibilities:
- Front Desk Reception: Acting as the first point of contact for clients, greeting and assisting visitors, handling incoming and outgoing mail and packages.
- Administrative Support: Providing general administrative support including coordinating office activities and operations, managing office supplies, kitchen maintenance, inventory, and equipment.
- Meeting and Event Planning: Assisting with the planning and coordination of meetings and staff events, including booking venues, arranging catering and at times, travel arrangements.
- IT and Security: Managing office security passes, IT requests and petty cash.
- Document Management: Filing, data entry, photocopying, binding, and scanning documents.
- Team Support: Supporting the administrative team to ensure the overall smooth running of facilities and equipment at the office.
Requirements:
- 6+ months of prior office administration experience required.
- Experienced with Microsoft Office, Word, Excel, PowerPoint, Outlook, client relationship management software and publishing software.
- Excellent verbal and written communication skills, including telephone skills.
- Ability to manage competing deadlines.
