We are seeking a highly skilled Finance Officer to join our team.

Job Description

This role is responsible for providing flexibility within the Finance Department and strengthening the overall skill base of the financial team. The successful candidate will be accountable for various financial functions, including processing credit applications, invoicing, debt collection, accounts receivable, and general cashiering duties.

Key Responsibilities:
  • Process all credit applications and ensure timely notification of clients.
  • Set up A/R accounts for newly approved credits and maintain accurate creditor details.
  • Accountable for the accurate processing of all A/R accounts.
  • Ensure all trade debtors' invoices are accurate and supported by valid guarantees of payment.
  • Timely transfer of invoices to the City Ledger and prompt emailing/mailing of invoices to debtors.
  • Complete daily summaries of adjustments related to the City Ledger and reconcile with PMS-generated reports at end of shift.
  • Follow up regularly on debtors trading beyond their normal terms and notify the Financial Controller/Asst. Financial Controller.
  • Verify travel agent commission payments on a weekly basis.
  • Ensure completeness of credit card transactions.
  • Liaise promptly with Front Office and bank for any credit card disputes.
  • Print and forward month-end reports to the Financial Controller for balance sheet reconciliation.
  • Perform 'month end close' of the debtor's system.
Additional Responsibilities:
  • Verify invoices for accuracy and authorisations.
  • Ensure vendor information is up-to-date in A/P module.
  • Coding of invoices in A/P ledger with appropriate supplier and general ledger account codes.
  • Reconciliation between inventory system ledger and Accounts Payable ledger at month-end.
  • Preparation of payment runs strictly following vendor payment terms.
  • Reconciliation of detailed payment run report with approved invoices and purchase orders.
  • Supervision of payment run by two bank signatories.
  • Coordinate overseas payments with the bank or available online facilities.
  • Reconciliation of suppliers' statement of account and follow-up for any missing invoices.
  • Secure filing of paid invoices by batch payment date.
  • Preparation of accruals journal for outstanding purchase orders and goods/services received without an invoice.
  • Regular monitoring of A/P ageing report and follow-up on credit notes/missing invoices.
