About the opportunity:

We are seeking an experienced and skilled Executive Assistant to support the Chief Executive Officer. This is a high-profile role that requires exceptional organizational skills, discretion, and attention to detail. The successful candidate will work closely with the CEO, maintaining a high level of awareness of matters, effectively responding to inquiries, and managing tasks.

Key Responsibilities:

  • Provide comprehensive and confidential support to the CEO, efficiently managing their calendar and emails.
  • Ensure the CEO is thoroughly briefed and prepared for meetings, ensuring seamless communication and collaboration.
  • Manage and prioritize the CEO's schedule, coordinating meeting arrangements and handling projects from initiation to completion.
  • Represent the CEO and the organization with professionalism and integrity, upholding the company's brand and reputation.
  • Build and sustain strong, effective relationships with internal and external stakeholders, fostering a culture of collaboration and respect.
  • Maintain a keen awareness of strategic and operational matters within the organization and industry, staying informed about relevant developments.
  • Proactively manage and prioritize tasks, ensuring the timely and successful completion of all actions and assignments.
  • Research and prepare high-quality correspondence, detailed reports, schedules, agendas, and accurate minutes.
  • Develop and maintain effective communication channels, providing timely feedback, support, and follow-up to stakeholders.
  • Participate in after-hours work and on-call duties as required to ensure uninterrupted service and support.
  • Support the company's WH&S policies, procedures, and practices, ensuring a safe and healthy work environment.

About you:

You will excel in a fast-paced, high-visibility environment, providing confidential, executive support. You will demonstrate strong autonomy, reliability, and discretion while building and maintaining key stakeholder relationships with tact and diplomacy.

Requirements for the position:

  • Relevant academic qualification and/or significant C-Suite experience in a similar-sized organization.
  • A career-oriented C-suite assistant mindset.
  • C Class Driver's License.
  • Advanced skills in Office 365 – Outlook, Word, MS Teams, Excel, PowerPoint.
  • Project Management experience is desirable.
  • Approachable and engaging style with the ability to build positive executive-level relationships with stakeholders.
  • Proven experience in high-quality executive communications, showing attention to detail, judgment, initiative, and confidentiality.
  • Experience in secretariat or governance functions within complex structures.
  • Ability to work autonomously, adapt, and be self-motivated, including flexibility for non-standard hours.
  • Highly developed time management, planning, and organizational skills, with the ability to handle changing priorities and deadlines.
  • Proactive problem-solving skills and strong decision-making capabilities.
