Job Overview:
The primary function of a Service Operations Assistant is to provide essential support to the operations team by carrying out administrative tasks, documenting processes, maintaining records, and coordinating schedules. This role plays a vital part in enhancing business efficiency and competitiveness through technology and people-enabled processes.
Key Responsibilities:
- Perform various administrative duties as per established policies, procedures, systems, guidelines, and objectives.
- Assist in resolving administrative issues and problems, referring to relevant staff when necessary.
- Develop and maintain operational processes and instructions aligned with global process guidelines.
- Maintain, format, and prepare records for the operations team, including meeting minutes, reports, presentations, registers, and customer communications.
- Conduct daily, monthly, and weekly reporting on operations team activities.
- Follow up on and expedite pending documents and information.
- Coordinate schedules, including internal and external meetings, to align with project, engineering, and services schedules.
- Carry out quality reviews on incidents, problems, and changes to drive continuous improvement.
- Proofread and edit Root Cause Analysis, Post Implementation Reviews, and other customer communication to ensure accuracy.
- Identify options for potential process improvements and assess them for both technical and business suitability.
- Respond to requests and inquiries, providing readily available information to authorized requestors.
Requirements:
- High level of proficiency with Microsoft Office package, especially Excel.
- Strong interpersonal skills, including verbal and written communication skills and excellent listening skills.
- Ability to work under project deadlines and associated schedule constraints.
- Excellent customer service skills.
- Strong analytical and problem-solving skills.
Additional Information:
This role requires a Certificate III in Business Administration or equivalent experience. The ability to travel to other offices and nominated customer locations is also necessary. A positive attitude and enthusiasm to achieve business deliverables are essential for success in this role.
