Office Manager and Executive Assistant

Wenco International Mining Systems is seeking a highly skilled Office Manager and Executive Assistant to provide administrative support to the executive team. The ideal candidate will have 3+ years of experience in an executive assistant role, with a strong knowledge of Microsoft Office applications and event planning.
Key Responsibilities:
- Front of office support, including greeting staff and visitors, answering the general office phone, and providing general administrative support to all departments and employees.
- Coordinate outgoing courier shipments and distribution of incoming mail and packages.
- Manage the Company's cell phone plan, including issuing phones as needed, monitoring usage, and suggesting plan changes to meet business needs.
- Responsible for overall facilities management, including coordinating with the landlord and external vendors for repairs and maintenance, monitoring the security system, and maintaining and ordering office supplies.
- Ensure proper functioning and maintenance of photocopiers and printers.
- Assist in updating the office layout and seating plan as required.
- Support WBE staff with regards to Wenco's Travel Program.
- Assist the Human Resources department with various activities, including onboarding of new hires, being an active member of Wenco's Joint Health & Safety Committee and Social Committee, and arranging employee virtual wellness events.
- Provide administrative support to multiple Executive team members, including handling all communications and correspondence, managing special projects, and handling travel arrangements and expense reconciliations.
Requirements:
- 3+ years of experience in an executive assistant role or progressive administrative experience of 5+ years.
- Experienced working in a role and environment which requires confidentiality to be adhered to.
- Experience in event planning and coordinating.
- Strong knowledge of Microsoft Office applications (Excel, Word, PowerPoint).
- Knowledge of Adobe.
- Strong organizational skills, detail-oriented, reliable, and ability to manage multiple executive members' schedules.
- Excellent communication skills, including the ability to write clear, formal business communications.
- Excellent interpersonal skills.
- Strong time management skills.
- Strong ability to multi-task, and prioritize.
- Strong problem-solving skills with an ability to think outside of the box and be resourceful.
