Lead Group is seeking a highly organized and detail-oriented Office Administrator to join their team. The ideal candidate will have excellent communication skills, the ability to multi-task effectively, and a high degree of computer proficiency.

Key Responsibilities:

  • Manage day-to-day operations of the reception environment, including managing fleet, insurances, and car maintenance.
  • Provide administrative support to the management team and wider office staff, including credit card reconciliations, receipts allocations, and expense processing.
  • Manage training and certifications records for all employees.
  • Monitor, respond, and re-direct phone calls and emails.
  • Coordinate office post, deliveries, and send-outs.
  • Book travel arrangements, including flights, accommodation, and ground transportation.
  • Provide PA support to the Managing Director and Group General Manager.
  • Assist with diary management, including organizing appointments, meetings, travel arrangements, and attendance at conferences and seminars.
  • Support the Managing Director and Group General Manager with workload and activities.
  • Identify, anticipate, and prepare information requirements for meetings and presentations.
  • Liaise with IT for all IT-related matters and troubleshooting.
  • Coordinate and process approved orders, including stationery, hardware, and office supplies.
  • Manage contract and price negotiations with office vendors and service providers.
  • Set up appointments, conferences, and manage meeting rooms.
  • Coordinate office and business events.
  • Support Team Member onboarding, recognitions, and engagement.
  • Facilities Management.
  • Maintain professionalism and strict confidentiality with all materials at all times.

Requirements:

  • Great communication skills and the ability to multi-task effectively.
  • Excellent written communication skills, with high attention to detail.
  • Excellent organizational skills, including the ability to multi-task, pre-plan, and trouble-shoot.
  • A high degree of computer proficiency across word processing, database, spreadsheet, and email functions.
