Exciting Opportunity for Proposals Coordinator

We are seeking a highly skilled professional to join our team and support a project team in a global business that is continuing to grow.

This role offers plenty of opportunity and career growth within the organisation, with a manager who is approachable and will be a great mentor. You will have the ability to work from home two days per week after initial training and be part of an organisation that looks after its staff and offers great remuneration and loads of benefits.

The successful candidate will be responsible for coordinating the preparation of written and graphical elements of opportunity response documents, interacting with operations personnel, proofing and editing documents, and working closely with response team members and proposals specialists.

Key duties include:

  • Coordinate the preparation of written and graphical elements of opportunity response documents.
  • Interact with operations personnel to support development of collateral.
  • Proof and edit documents ensuring adherence to standards and consistency of branding.
  • Coordinate with graphic design personnel and outside print vendors.
  • May provide graphics and desktop publishing support.
  • Work closely with response team members and proposals specialists.
  • Database management - enter opportunities won/lost/client contact details plus assign project managers and technical leads.
  • Organise and attend response related meetings (internal and/or client meetings).
  • Monitor tender portals and industry panels - distribute opportunities to relevant staff.
  • Assist relevant staff to attain pre-qualification accreditations to meet future opportunity requirements.
  • Update and maintain various qualifications and reference material.
  • Coordinate appropriate legal reviews of pursuit phase documentation and contracts.
  • Work with specialist software and processes.
  • Assist in request for quote and coordination of subconsultants at pursuits stage.
  • Collect insurances and pre-qualification questionnaires.
  • Create PPT for proposals to assist project managers in the establishment of the proposed project cost budget.
  • Comply with phase QC/AQ requirements.

Requirements include:

  • Proven experience with proposals/tenders.
  • Outstanding communication skills.
  • Strong organisational skills.
  • Ability to work autonomously but also as part of a team.
  • Advanced MS Office and formatting skills - particularly Word & PowerPoint.
