As a key member of our construction team, the Construction Coordinator plays a vital role in supporting the development of mid and high-rise projects, as well as mixed-use projects across the country.

The ideal candidate will be responsible for managing schedules, budgets, tenders, notifications, approval processes, contracts, change orders, and more. This will involve arranging start-up project documentation, preparing subcontracts, POs, change orders, bank draws, site instructions, certificates of substantial completion, and assisting with proposals, tenders, and contract management.

Duties and Responsibilities

  • Manage all aspects of project coordination, ensuring timely responses to correspondence and diarizing actions accordingly.
  • Support senior members of the construction team, including internal organization members, by providing administrative assistance and proactive analysis of project needs.
  • Prepare meeting minutes and manage RFI requests, while also reviewing documents, reports, and correspondence for senior management approval.
  • Handle financial documents, including invoices, subcontracts, purchase orders, change orders, and other related papers, ensuring proper collation and processing.
  • Build strong relationships with internal teams and external parties such as consultants, contractors, vendors, and inspectors.
  • Coordinate site access, schedules, project status reports, and communication of project progress with internal departments.
  • Assist in preparing tender documents, including analysis and recommendations, and ensure that all necessary documentation is completed accurately and efficiently.
  • Set up and coordinate data management folders for project teams, process invoices and payment certificates for approval and submission, and assist with budget and schedule monitoring, forecasting, and updates.
  • Organize and attend project meetings, prepare minutes in collaboration with the Construction Manager, review project progress, develop deficiency and punch lists prior to turnover, and assist with municipal and agency permits and application processes.
  • Support project close-out procedures and vendor onboarding processes.

Requirements

  • A minimum of 1-2 years of experience in construction project coordination, preferably with onsite experience.
  • A thorough understanding of building methodologies, materials, and science.
  • Proficiency in Microsoft Office Suite and strong knowledge of MS Project.
  • A solid grasp of multifamily project design and construction principles.
  • Experience with construction drawings, including architectural, structural, mechanical, electrical, and landscape plans.
  • Strong budgeting and scheduling skills, with proficiency in project management software.
  • Excellent time management, communication, and problem-solving skills, with the ability to work independently and collaboratively.
  • A valid driver's license and willingness to travel within Victoria, BC.
