Job Title

A dedicated Rental Management Officer responsible for overseeing rental equipment, creating invoices, and coordinating logistics.

About the Role

This officer will work closely with the Finance team to manage rental invoicing, scheduling, and document control. Key responsibilities include:

  • Verifying rental details with sales representatives, including customer information, site addresses, PO/contract, start and end dates, invoicing schedules, serial numbers, and accessories.
  • Examining and confirming quote and invoice schedule accuracy in the database.
  • Configuring and deploying equipment and/or accessories in the inventory system.
  • Updating rental invoicing spreadsheets for accuracy of invoicing schedules.
  • Invoicing rental projects as per invoicing schedules and submitting tax invoices as per contractual obligations.
  • Investigating missing delivery and startup documentation to support initial revenue take-up.
  • Investigating missing return and decommissioning documentation to support final revenue take-up.
  • Invoicing and taking up revenue monthly as required between startup and commission.
  • Returning equipment and/or accessories in the inventory system.
  • Raising rental repair/maintenance requests as required.

Rental Logistical Duties

  • Arranging rental units for transportation to and from storage facilities to fabrication workshops and coordinating returns once fabrication works are completed.
  • Liaising with transport and warehouse teams on incoming and outgoing rentals.
  • Liaising with transport teams on rental chiller deliveries to project sites and managing ETA expectations.
  • Following up with teams on return dates.
  • Monitoring the location of rental chillers on-site fortnightly.

General Administration Duties

  • Attending local team meetings as required (internal and external).
  • Ensuring all work is focused on customer satisfaction and aligned with internal processes.
  • Providing administrative support to Service Managers and other administration team members in their administration functions when required.
  • Supporting Project and Logistics teams as needed.
  • Creating new buildings in the database and maintaining them.
  • Undertaking specific administrative tasks as required.

Key Qualifications and Skills

  • Tertiary qualification in a relevant field, such as engineering, maintenance, logistics, or business.
  • Significant experience in fleet management and/or asset roles and/or procurement roles.
  • Strong understanding of vehicle maintenance, compliance, and safety regulations.
  • Excellent analytical and problem-solving skills to optimize fleet performance.
  • Demonstrated knowledge and experience within corporate administrative functions.
  • Self-motivated and independent individual, able to take ownership of personal and team goals.
  • Maintain high standards of personal and team reliability.
