Job Description

We are seeking an experienced Administrative Services Coordinator to join our team at Celleng. As a key member of our administration team, you will be responsible for providing administrative support to staff and management, including preparing documents, handling correspondence, and managing phone calls and emails.

Key Accountabilities:

  • Administrative Support: Provide high-level administrative support to staff and management, ensuring seamless day-to-day operations.
  • General Office Duties: Maintain a clean, organized, and well-maintained office environment, ensuring all necessary supplies and equipment are readily available.
  • Scheduling and Coordination: Manage calendars, schedule appointments, and coordinate meetings for staff and management, ensuring timely and efficient communication.
  • Event Coordination: Plan and coordinate office events, meetings, and conferences, arranging logistics and preparing materials as required.
  • Travel Arrangement: Arrange travel requirements for company staff, including flights, accommodation, and hire vehicles, ensuring smooth and stress-free travel arrangements.
  • Record Keeping: Maintain accurate and up-to-date records, including filing systems, databases, and employee training records, ensuring confidentiality and security of sensitive information.
  • Customer Service: Provide excellent customer service to clients, vendors, and employees, responding to inquiries and resolving issues in a professional and courteous manner.
  • Procurement / Purchasing Support: Obtain quotes from suppliers, organize purchase orders, and maintain the Purchase Order Register, ensuring purchased goods are delivered within project or office timelines and requirements.
  • Site Access Workflow: Book pre-employment medicals, arrange personal protective equipment (PPE), and ensure qualifications and tickets are entered into client contractor portals prior to project site entry.
  • Training Matrix: Support staff with project site access training and site-specific inductions, updating client contractor management portals for new and existing staff.
  • Fleet Management: Responsible for allocation and tracking of all company vehicles, updating the Fringe Benefits Tax (FBT) Report with vehicle logbook details on an annual basis.
  • Labour Hire Reporting: Update the Labour Hire Portal with company labour hire data for the company on a 6-monthly basis.
  • Project Consumables: Generate project labels as required.
  • Quality: Adhere to Position Description Task List.
