
Administration Coordinator

This company is seeking a highly skilled Administration Manager to join their team. The successful candidate will have experience in an administration environment and be proficient in Office 365, MS Word, Excel, Powerpoint, Outlook, Sharepoint, and Teams.
In this critical role, you will report to the Managing Director, overseeing the smooth running of all marketing & communication for the company. You will also assist the VP of Operations - Americas. This is a broad role where you will oversee Investor Relations, Marketing, and all general administration for Directors and HR for the company.
Key duties and responsibilities include:
- Executive support for senior executives
- Scheduling meetings and maintaining calendars
- Liaising with consultants on social media, events, and branding
- Assisting with announcements and reports
- Screening phone calls and requests
- Printing and scanning documents
- Document control and creation of new procedures
- Managing information inboxes
- Performing ad-hoc administration duties
- Assisting staff with IT queries
- Arranging corporate travel and accommodation
- Organizing office stationery and business cards
- Meet and greet visitors at all levels of seniority
- Collating and distributing board packs
- Setting up meeting rooms
- Ordering catering and coffees
- Maintaining contact databases
- Maintaining phone lists
- Assisting with HR items and onboarding new staff
Receiving and sending mail and couriers
Qualifications, Experience, Skills & Attributes- 3+ years experience in an administration environment
- Experience in an ASX listed mining company (desirable)
- Proficiency with Office 365, MS Word, Excel, Powerpoint, Outlook, Sharepoint, and Teams
- Experience with using Wordpress, Twitter, LinkedIn, Mailchimp
- Technology savvy
- National Police Clearance
- Ability to manage multiple tasks simultaneously, solve problems, meet deadlines, and maintain quality work
- Effective communication skills
- Professional presentation
- Ability to work co-operatively within the team and organization
- Flexibility and adaptability to manage changing work requirements
