
Medical Workforce Coordinator

The Medical Workforce Coordinator is responsible for providing efficient and effective administrative support services to the functions that facilitate the Medical Workforce Unit, including:
- Coordinating education, rostering, and onboarding processes for Local Health Districts.
- Supporting the delivery of clinical services across hospitals and liaising with key stakeholders at regional health authorities and health departments.
You will play a vital role in ensuring the seamless operation of our medical workforce. This is an opportunity to be part of a dynamic team that values excellence, teamwork, and ongoing professional development.
Main Responsibilities- Create and Manage JMO Rosters: Develop and maintain accurate, equitable, and cost-effective JMO rosters that adhere to safe working hours as per relevant awards.
- Maintain Daily Rosters: Ensure timely management of daily rosters, including sick leave, overtime, and annual leave cover for all junior medical officers.
- Coordinate JMO Onboarding and Credentialing: Facilitate the smooth onboarding and credentialing process for new junior medical officers, ensuring compliance with relevant policies and procedures.
- Provide Administrative Support: Prepare reports, newsletters, correspondence, meeting papers, and audits related to mandatory training, AHPRA registration, visa requirements, WWCC checks, Safe Working Hours, and UROC protocols.
- Assist Junior and Senior Medical Staff: Provide timely advice, support, and guidance to junior and senior medical staff, promoting their orientation, wellbeing, and career development.
- Maintain Knowledge and Expertise: Stay up-to-date with relevant industrial awards, legislative requirements, and policies and procedures at local, district, and state levels.
- Contribute to Strategic Direction: Collaborate with the Medical Workforce Unit Manager and team members to contribute to the overall strategic direction of the unit and achieve key performance indicators.
- Tertiary Qualifications: Relevant tertiary qualifications or equivalent work experience, preferably in a Medical Workforce or hospital setting.
- Interpersonal Skills: Strong interpersonal skills, ability to collaborate effectively with colleagues, and build rapport with diverse stakeholders.
- Initiative and Adaptability: Demonstrate initiative, work independently, and learn quickly in a dynamic environment requiring flexibility and adaptability.
- Workload Management: Proven ability to manage workload in high-volume environments, prioritize tasks, and maintain attention to detail.
- Confidentiality and Discretion: Exercise discretion and maintain confidentiality when dealing with sensitive information.
- Communication and Interpersonal Skills: Excellent written and verbal communication skills, proficiency in using internet technology, email, and MS Office applications, and experience with complex electronic systems.
- Roster and Payroll Processes: Demonstrated knowledge of roster and payroll processes, and ability to interpret employment conditions and awards for medical staff.
- Recruitment and Remuneration: Demonstrated knowledge of recruitment and remuneration processes and practices, and ability to interpret employment conditions for medical staff.
