The Role

We are seeking a Service Coordinator to act as the vital link between our valued customers and our expert technical team. Reporting directly to our Service Manager, this role is responsible for ensuring seamless communication and efficient workflow.

Key Responsibilities

  • Welcome all customers upon their arrival and provide exceptional customer service.
  • Handle phone enquiries and bookings, prioritizing timely responses to meet customer expectations.
  • Cost repair invoices for retail, fleet, warranty, and internal accounts, maintaining accuracy and attention to detail.
  • Keep customers informed about the progress of their vehicle, providing regular updates and status notifications.
  • Seek approval from fleet companies for repairs and services, fostering strong relationships with key stakeholders.
  • Collaborate with the Workshop Controller to allocate work to workshop staff, ensuring optimal resource utilization.
  • Provide in-depth information and alternatives for vehicle repairs and maintenance, promoting transparency and trust.
  • Schedule and confirm service appointments, vehicle drop-offs, and pick-ups, streamlining the service experience.
  • Manage and supervise the service department's workflow, identifying areas for improvement and implementing process enhancements.
  • Notify customers about service changes and vehicle readiness, demonstrating a commitment to excellence.

Requirements

  • Exceptional Communication Skills: Ability to establish rapport and communicate effectively with customers, colleagues, and external partners.
  • Strong Work Ethic & Positive Attitude: A commitment to delivering high-quality results and a proactive mindset.
  • Current Driver's License: Mandatory for the role, enabling seamless interactions with customers and colleagues.
  • Industry Acumen: Prior experience in the motor industry is highly advantageous, providing a deep understanding of industry-specific challenges and opportunities.
  • Organisational Skills: Proficiency in multitasking without compromising on quality, ensuring seamless workflow and efficient operations.
  • Tech-Savvy: Familiarity with industry-specific software and office365 is essential, leveraging technology to enhance productivity and customer satisfaction.
