About the Role

We are seeking a highly organized and detail-oriented Workplace Assistant to join our team. As a key member of our workplace team, you will be responsible for ensuring the smooth operation of our facilities and providing exceptional support to our employees.

Key Responsibilities
  • Ensure compliance with all relevant safety, health, and environmental regulations.
  • Assist in maintaining a safe and functional working environment.
  • Support the Workplace Manager and team in various tasks, including reception and concierge duties.
  • Handle ad-hoc requests from the business and team members.
  • Coordinate maintenance, repairs, and services for tenanted areas and equipment.
  • Liaise with cleaning contractors and manage meeting room equipment.
  • Collaborate with catering for a seamless Front of House experience.
  • Field and forward inquiries, ensuring a world-class client experience.
  • Provide technical AV support and assist with internal and external events.
  • Handle procurement of stationery, office equipment, and consumables.
  • Manage finance-related tasks, including invoicing and cost recovery.
  • Action purchase orders and maintain registers.
About You
  • You must have a high school diploma (or equivalent) and be comfortable with technology.
  • You should be confident in providing instruction and assistance to internal and external clients at all levels.
  • You must be able to remain calm, focused, and effective under close scrutiny and in time-critical situations.
  • You should have strong customer service focus, excellent communication and relationship-building skills, and a polished and professional presentation.
  • You must have sound knowledge of MS Word, Excel, and Outlook, as well as strong organizational and time management skills.
  • You should be a self-starter who can work independently, but also contribute proactively to a strong team environment.
  • You must demonstrate adherence to confidentiality requirements and maintain a high level of ethical behavior.
