Medical Front Desk Coordinator Job

The Medical Front Desk Coordinator will play a vital role in the front desk of our medical clinic, ensuring patients receive exceptional care and service.

Key Responsibilities:

  • Open and close the clinic as per procedure, maintaining high levels of professionalism and courtesy.
  • Greet patients and callers professionally and courteously, providing clear instructions and support.
  • Make appointments for patients efficiently, utilizing scheduling software to maximize productivity.
  • Manage medical records confidentially and efficiently, adhering to strict confidentiality protocols.
  • Process patient payments accurately via cash, Eftpos, and direct billing, minimizing errors and discrepancies.
  • Invoice Medicare, Private Health Funds, TAC, Workcover, ensuring timely and accurate reimbursement.
  • Deal with referring doctors, hospital staff, and pharmacists professionally and helpfully, fostering strong relationships and communication channels.
  • Attend to patient enquiries promptly and empathetically, resolving issues and concerns effectively.
  • Fulfill roster duties when staff is away or on leave, demonstrating adaptability and flexibility.
  • Maintain the reception waiting area and consulting rooms tidy, ensuring a clean and welcoming environment for patients.
  • Store and retrieve patient and practice records securely, maintaining data integrity and confidentiality.

Requirements:

  • Demonstrated ability to work in a team and willingness to learn new skills and processes.
  • Experience with Medical software (Best Practice/Medical Director) required, with a strong understanding of its features and functionality.
  • Strong organizational and time management skills, with multitasking abilities to prioritize tasks effectively.
  • Compassionate and empathetic demeanor when dealing with patients, providing exceptional customer service and support.
  • Strong communication and interpersonal skills, with the ability to build rapport with patients, colleagues, and external stakeholders.
  • At least 1 year experience as a Medical Receptionist in a medical practice required, with a proven track record of success.
