Reservations Coordinator Job Summary

We are seeking a skilled Reservations Coordinator to manage group bookings, guest needs, and special requests from initial enquiry to departure.

This role requires strong communication and organisational skills to ensure seamless transitions and exceptional service delivery.

The ideal candidate will have experience in hotel reservations, front desk, or sales support, with a background in front-facing service being advantageous.

Key Responsibilities
  • Manage group room blocks from initial enquiry through to departure.
  • Coordinate rooming lists, billing details, and special requirements.
  • Work closely with internal teams to ensure every need is met.
  • Monitor pick-up rates, cut-off dates, and contract requirements.
  • Prepare group resumes and daily arrival reports.
  • Welcome group organisers on arrival.
  • Assist the Front Office on key arrival days for a smooth guest experience.
Requirements
  • 1–2 years' experience in hotel reservations, front desk, or sales support (group reservations experience preferred).
  • A background in front-facing service is advantageous.
  • Experience with HMS or Sales & Catering systems (or similar).
  • Impeccable attention to detail and organisational skills.
  • Strong communication skills, both written and verbal.
  • The ability to remain calm and focused under pressure.
  • A collaborative and adaptable approach.
