We are seeking a skilled Contract Coordinator to support our Pre-Construction and Project Delivery teams across various projects.

  • Manage drawings, specifications, and consultant reports ensuring they are up-to-date and accurate.
  • Liaise with designers and consultants to resolve design queries and ensure smooth project execution.
  • Schedule meetings, prepare agendas, take minutes, and circulate documentation to stakeholders.
  • Issue tender packages, coordinate site visits for subcontractor pricing, and assist in compiling tender submissions.
  • Support statutory approvals, including planning permits, building permits, and landlord approvals.
  • Track document versions and maintain an organised archive of all pre-construction materials.
Key Responsibilities:
  • Provide administrative support to Project Managers on a day-to-day basis.
  • Update project documentation using tools like Procore, including RFIs, variations, and submittals.
  • Assist with procurement tasks, such as issuing POs, following up deliveries, and organising subcontractor agreements.
  • Build scopes of work based on construction documentation.
  • Attend site meetings virtually or in-person and record action items.
  • Prepare regular project reports and progress updates for clients and stakeholders.
  • Contribute to safety compliance initiatives, including OHS documentation, contractor pre-qualifications, and inductions.
About the Role:
  • We are looking for an experienced professional with at least 4-5 years of experience in a similar role.
  • A strong organisational skills and ability to manage multiple priorities is essential.
  • Confidence in reading construction drawings and communicating with trades is required.
  • Experience with Procore is highly desirable.
  • A proactive, detail-focused mindset and team-first attitude is crucial.
