Job Title: Co-ordinator of Operational Support

We are seeking a skilled Administrator to join our team. As a key member of our support staff, you will play a critical role in the success of our operations.

This is a hands-on, year-round role that requires an organised, systems-minded, and proactive administrator who thrives in a fast-paced environment. You will be responsible for providing administrative support to various departments, including procurement, inventory management, documentation, job tracking, and invoice processing.

About the Role

  • Attend daily production briefings and liaise with the Director to plan procurement.
  • Process procurement requests, obtain quotes, raise and track purchase orders.
  • Maintain supplier databases, update pricing, and track job costs in real time.
  • Monitor inventory levels across tech and production, including consumables.
  • Support teams with timesheet tracking, data entry, and reporting.
  • Manage shared inboxes and print job packs.

Seasonal Focus

The role will have three seasonal focuses:

  • Peak Season (June to December): Production & Tech Focus
    • 60% of time supporting Production and 40% of time supporting Finance and Warehouse.
  • End Season (December - March): Finance Focus
    • 60% of time supporting Finance and 40% of time supporting Production and Warehouse.
  • Mid-Year (March - May): Warehouse & Logistics Focus
    • 60% of time supporting Warehouse and 40% of time supporting Finance and Production.

Requirements

  • Background in administration, purchasing, accounts support, or related field.
  • Excellent communication, coordination, and organisational skills.
  • Confidence with Microsoft Office Suite, Excel, Sharepoint, and digital file systems.
  • Ability to work with different departments and adapt to seasonal needs.
  • Attention to detail, proactive follow-up, and a solutions mindset.
