Conference Event Planner

Apex Event Recruitment is seeking a Conference Event Planner to manage the planning, organization and execution of client events and conferences.

The Role

Key Responsibilities include:

  • Researching and evaluating potential venues
  • Negotiating contracts with guidance from the conference manager
  • Coordinating logistics for the conference
  • Overseeing the production and distribution of conference materials, signage and promotional items
  • Assisting in the development of networking opportunities such as social events and interactive sessions
  • Overseeing the creation of promotional materials
  • Overseeing the development of conference-related communications
  • Supporting social media and online marketing efforts to maximize conference attendance and engagement
  • Collaborating with clients and internal departments to develop an engaging and relevant conference program
  • Liaising with speakers presenters and session chairs to coordinate schedule presentations and AV requirements
  • Developing and managing conference mobile apps/online platforms for program scheduling and attendee engagement
  • Managing speaker logistics such as travel arrangements accommodation and reimbursements
  • Overseeing the program schedule and pre-empting any conflicts providing solutions to alleviate these
  • Overseeing the coordination of speakers presenters and chairpersons ensuring they have the necessary information materials and logistical information for their sessions
  • Providing onsite support during conferences including troubleshooting any issues and providing timely solutions to challenges that arise during the conference
  • Overseeing post-conference evaluations and surveys
  • Overseeing the collection of feedback from delegates
  • Preparing post-conference reports
