Business Operations Manager

The Business Operations Manager plays a vital role in achieving organizational success. They oversee the day-to-day operations, ensuring seamless execution and effective utilization of resources.

Key Responsibilities:
  • Financial Management:
    • Reconcile accounts to ensure accuracy and compliance
    • Prepare and present weekly and monthly financial reports to stakeholders
    • Collaborate with accounting teams for financial planning, optimization, and budgeting
  • Human Resource Management:
    • Manage wage reviews, payroll, contracts, and reports compliance to maintain regulatory standards
    • Maintain adherence to policy and procedure guidelines
  • Marketing and Communications:
    • Develop marketing rosters, including content creation and distribution strategies
    • Manage public relations on social media platforms to enhance brand visibility
  • Operational Efficiency:
    • Manage practice management diaries and rosters to optimize resource allocation
    • Ensure facility operations run smoothly and efficiently
    • Oversee cost management and review processes to minimize waste
    • Manage stock and equipment to maintain operational effectiveness
  • General Reception Duties:
    • Process health funds, payments, and refunds using Hicaps terminal facilities
    • End of day settlements of Hicaps and EFTPOS transactions
    • Sort patient data and correspondence
    • Fulfill legal and third-party requests in a timely manner
    • Manage Medicare and DVA claims processing via practice management software
    • Handle accounts payable and receivable transactions
    • Manage NDIS, CTP Insurance, and other third-party accounts
    • Perform room maintenance and tech setup to ensure a comfortable work environment

Preferred Qualifications and Experience:

  • Proficiency in Xero bookkeeping software
  • Experience with cloud-based client management software
  • Familiarity with Facebook Business Suite
  • Reception or front office management experience
