About the Role

This is an exciting opportunity to work in a dynamic and fast-paced environment, providing high-level administrative support to senior managers. The successful candidate will have a strong background in administration, with the ability to provide confidential executive and governance support services.

Key Responsibilities

  • Manage the appointment diary of the Executive Director, ensuring timely preparation for meetings and coordination of day-to-day activities.
  • Develop and oversee operational knowledge of the Executive Director's administrative processes, practice, and policies to guide work outcomes.
  • Attend Executive meetings, take minutes, and ensure the execution of action items. Coordinate meetings, conferences, and interstate travel arrangements.
  • Lead and manage coordination, quality control, and process management for strategic governance, Cabinet, and parliamentary support services acting as the Office of the Executive Director.
  • Incorporate background information supporting decision-making processes and continuously improve the quality of correspondence.
  • Coordinate effective office communication protocols, address correspondence in a timely manner, and determine relevant workload priorities.
  • Be responsible for end-to-end support for projects and programs delivered by the directorate.
  • Build effective relationships with key stakeholders and other senior agency executives and their offices, to ensure the Executive Director and division are kept informed.

Requirements

  • High-level proficiency in administration with the ability to provide executive support to senior managers.
  • Demonstrated experience in delivering confidential executive and governance support services.
  • Ability to solve problems and use initiative, particularly related to the provision of executive and administrative support.
  • Effective verbal and written communication skills, including clear and concise correspondence and successful liaison and negotiation skills.
  • Capacity to work independently with diplomacy, discretion, creativity, initiative, and judgment in a politically sensitive environment.
  • High-level organisational and time management skills, ability to manage high work volumes, changing priorities, and sensitive, confidential issues.
  • Proven experience in providing high-level executive support, correspondence management, and analysis of written information.
