Administrative Support Role

We are seeking an experienced and organised administrative professional to join our team as an Administration Clerk. This role will play a vital part in the smooth operation of our organisation by efficiently managing administrative tasks, bookings, and enquiries.

Key Responsibilities
  1. Greet and assist students, parents, and instructors in a friendly and professional manner. Address inquiries, provide information about courses, pricing, and schedules, and guide students through the enrolment process.
  2. Organise and coordinate driving lessons, classroom sessions, and road test appointments based on student availability and instructor schedules. Ensure timely communication of appointments to all parties involved.
  3. Maintain accurate and up-to-date student records, attendance records, and financial transactions. Prepare necessary reports for management as required.
  4. Handle payment processing, issue receipts, and manage billing inquiries. Collaborate with the finance department to ensure accurate financial records.
  5. Manage inventory of office supplies, training materials, and other resources. Place orders as needed to ensure a well-stocked and organised office environment.
  6. Maintain organised filing systems for various documents, contracts, and agreements. Ensure compliance with data protection regulations and confidentiality protocols.
  7. Effectively communicate with instructors, students, and parents regarding schedules, updates, and any changes to classes or appointments. Handle inquiries and concerns in a professional and timely manner.
  8. Maintain the overall cleanliness and organisation of the office space, creating a welcoming atmosphere for students and staff.
Requirements
  • Previous experience in administrative roles, preferably in a customer-facing or education-related setting.
  • Strong communication skills, both verbal and written, with an excellent telephone manner.
  • Exceptional organisational skills and attention to detail.
  • Ability to multitask and handle various responsibilities simultaneously.
  • Customer-focused attitude and the ability to remain patient and composed in fast-paced situations.
  • Familiarity with the driving school industry or a willingness to learn about it.

This is a casual position, approximately 30-38 hours per week, with no weekends required. The ideal candidate will have excellent communication and organisational skills, with the ability to work independently and as part of a team.
