Project Support Role

This is a full-time permanent opportunity to support our teams and clients deliver successful programs of work. As a highly organised and motivated Project Coordinator, you will be on-site with our teams and clients providing daily project support across the program delivery.

The ideal candidate will have experience supporting large-scale projects/programs across government and be well versed in document management, quality control and compliance and security policies and procedures.

Key Responsibilities:

  • Manage project reporting (including status reports and schedules), including client billing according to protocols and contract terms;
  • Collaborate with each of the project/program stream leads to ensure dependencies are managed and effective stakeholder management and reporting is in place;
  • Schedule meetings and resources across multiple internal and external teams;
  • Use and develop tooling to improve project office practices;
  • Prepare and review project documents, ensuring they're fit for purpose to support, control and manage effective delivery;
  • File management including file opening and closing, electronic and physical filing;
  • Document review including use of existing methodology templates to ensure alignment;
  • Manage risk and support the teams to build appropriate risk frameworks;
  • Implement industry best practice and tailored approaches to project management;
  • Design and deliver reports and dashboards to support executive meetings;
  • Governance and change management support;
  • Manage staff on/off boarding, including contractors and induction support; expenses and timesheets, including time recording for contractors;
  • Manage Government Panels, including reporting responsibilities;
  • Manage Proposals, support for Proposal production, monitoring of AusTender and shared MSOutlook mailbox;
  • Manage contracts with clients and financial tracking;
  • Manage security clearances and DISP responsibilities;
  • Develop productive working relationships with key contacts internally and externally.
