About the Role

This is an exciting opportunity to join a dynamic and collaborative team as a Team Administrator. In this role, you will provide high-quality support to our team members and contribute new ideas and initiatives to benefit your team.

  • You will act as a staff and client interface through fielding and responding to calls, coordinating appointments, and providing assistance to clients when necessary.
  • You will provide support to directors and project managers, including diary management, travel arrangements, coordination of client meetings, and wider project initiatives.
  • You will offer general administrative support to the team, including report formatting, preparation of presentations, coordination of team marketing activities, events, and resources, printing, binding, and collation of tender documentation.

Your Responsibilities

  1. To manage and coordinate projects effectively using business management systems.
  2. To ensure accurate entry of disbursements into the practice management system.
  3. To set up new assignments in the practice management system and obtain relevant terms of agreement and sub-consultant agreements.
  4. To create and distribute a high volume of invoices as part of the monthly billing process.
  5. To generate relevant expense reports on behalf of directors, including reconciliation and entry of expense items.
  6. To oversee all filing requirements and maintenance, as well as general office administrative supports.

About You

This position suits someone with a minimum of 2-3 years' experience in a similar role, supporting multiple leaders with a combination of the following competencies:

  • A completion of a secretarial studies/business administration course and/or equivalent.
  • An intermediate to advanced level of experience using the Microsoft Office Suite, Word, and PowerPoint.
  • Able to work decisively and handle competing demands and projects.
  • Eagerness to contribute to administration and project coordination process improvement.
