The successful candidate will be responsible for providing administrative support across various projects, ensuring seamless day-to-day operations and contributing to the success of the business.

Key Responsibilities:

  • General administration of site activities, including reception duties, mail management, filing, minute taking, and data entry.

  • Input of delivery dockets, orders, subcontractors, and invoices into the job costing system.

  • Reviewing invoices for reasonableness and ensuring authorization aligns with established authority levels.

  • Purchasing goods for site use (excluding permanent materials or engineered products).

  • Maintaining accurate records of vehicles, logistics, plant, and equipment.

  • Updating and maintaining project leave registers.

  • Assisting with valuation of monthly progress claims related to simple subcontracts and updating subcontract payment schedules.

  • Preparing progress claim certificates and supporting claim preparation efforts.

  • Contributing to project cost forecasting exercises.

  • Developing and compiling project correspondence, reports, minutes of meetings, and presentations.

  • Coordinating site-based travel, accommodation, and relocation arrangements.

  • Maintaining electronic and hard copy files.

  • Staying up-to-date with relevant policies, procedures, and compliance training as part of the role.

  • Applying knowledge of legislation, industry standards, and technological innovations relevant to the position.
