Administrative Coordinator Role

The Administrative Coordinator plays a crucial role in ensuring the smooth operation of our administrative activities.

This position involves performing general administrative tasks, providing support to our team, and contributing to the overall success of our organization.

  • Receptionist duties including answering the main office phone, taking messages, welcoming clients, and responding to visitors.
  • General office duties including word processing, filing, scanning, photocopying, faxing, collecting and delivering mail, and maintaining records of incoming and outgoing communications.
  • Providing support to our multi-disciplinary team as requested and providing backup to colleagues when necessary.
  • Managing and booking all travel, flights, and accommodation for staff.
  • Providing support to the Finance team by preparing monthly credit card, cab charge, travel card, and petty cash reconciliations.
  • Taking stock and arranging quotes and purchases of office equipment and stationery.
  • Facilitating room bookings, in-house network meetings, assisting with IT, MS Teams, and catering.
  • Maintaining all records in accordance with policies and procedures, promptly, accurately, and appropriately filing (electronic and hard copy) all records.
  • Participating in induction processes for new starters ensuring systems are ready for their first day.
  • Participating in WHS concerns for the local office.
  • Acting as local First Aid Officer and Fire Warden, including maintaining qualifications as necessary.
  • Undertaking other duties and projects as directed.

Key Skills and Qualifications

  • Highly experienced across general administration and office management tasks.
  • Maintain a high level of attention to detail in all activities but especially in record keeping, data entry, and filing.
  • Takes initiative and is willing to help other teams.
  • Maintain high standards of discretion and show ability to handle difficult situations with tact and sensitivity and when appropriate refer to a more appropriate colleague.
  • Maintain a flexible collegial and professional approach to working within a multi-disciplinary team.
  • Maintain ability to work independently and also contribute positively as a part of a team.
