Residential Property Administration Specialist

This role provides administrative support to an Australian residential portfolio, focusing on Western Australia. Key responsibilities include handling day-to-day administration, contracts and documentation, maintenance coordination, arrears follow-up, and stakeholder communication.


Main Responsibilities:
  • Prepare and manage tenancy documents, renewals, addendums, and compliance files.
  • Process applications, references, schedule inspections, and update condition reports.
  • Log, triage, and track maintenance requests with trades, owners, and tenants.
  • Monitor arrears and issue reminders, notes, and reports to the property management lead.
  • Keep the property database organised with accurate notes, tasks, and document links.
  • Produce weekly activity summaries and ad-hoc reports as requested.

Requirements:
  • A minimum of 2 years' experience in residential property management administration or assistant roles.
  • Familiarity with property management software, such as PropertyTree, is preferred, but other platforms are valued.
  • Knowledge of WA residential processes and terminology, or the ability to learn quickly, is essential.
  • Strong skills in contract management, maintenance pipelines, arrears, and inspection scheduling are required.
  • Clear and professional communication skills are necessary for this role.
