Your Role

The primary purpose of this role is to provide administrative support to our office, ensuring that facilities are well-maintained and that all necessary supplies are stocked. You will be responsible for greeting and directing visitors, responding to internal calls, and maintaining the front of house area to project a professional image.

Your Responsibilities:

  • Greet and direct visitors in a professional manner, and inform relevant staff members of their arrival.
  • Receive and respond to internal calls from employees.
  • Ensure the upkeep of the front of house area, including the reception area, meeting rooms, and stationery room.
  • Book boardroom and conference facilities as needed, including ordering catering and providing refreshments.
  • Organize meeting rooms for interviews and external meetings, and ensure they are cleared and tidied promptly.
  • Assist the Office Manager with office events, including setting up and packing down meeting room furniture.
  • Open and distribute incoming mail on a daily basis.
  • Notify employees of deliveries and other packages available for collection at reception.
  • Ensure all meeting rooms, reception area, stationery room, and catering kitchen are neat and tidy at all times.
  • Log with vendors any repairs and service of office equipment, such as photocopiers and fax machines.
  • Distribute fruit delivery and newspapers daily.
  • Proactively manage the archiving and retrieving of files to/from offsite storage.
  • Organize stationery packages for new starters, and clean and prepare their desks.
  • Perform other ad hoc duties in support of the Office Manager, National Office Manager, and Head of Operations, A&NZ.
  • Ensure the workplace is safe and without risk to health by proactively escalating any hazards identified.

Requirements:

  • At least 24 months previous experience in a similar role, preferably in a business with multiple offices or sites.
  • Ability to communicate effectively and professionally with all levels of staff, management, internal and external clients.
  • Ability to work well in a corporate environment, maintaining and enhancing the Chubb Corporate Style.
  • High level of attention to detail and accuracy.
  • Excellent customer service ethic.
  • Action-oriented, with the ability to multi-task.
  • Proficient in Microsoft Office suite.
