Position Purpose: To provide high-level customer service as the first point of contact for visitors and callers.

Key Responsibilities:

  • Provide executive assistance as required
  • Diary management and meeting room coordination
  • Poll vehicle management
  • Calendar management of pool vehicles
  • Ensure staff compliance with vehicle hire policy/procedures
  • Manage staff driver licence information
  • Organize regular service and car washes for vehicles
  • Coordinate flights, accommodation, and rental cars for staff and governing body members
  • Take and pass messages to staff on a timely basis
  • Undertake credit card reconciliation for corporate cards
  • Fire warden - ground level building
  • Process baptism records requests
  • Order communion cups and Basis of Union copies as required
  • Manage Big Fella Cross rentals
  • Manage building keys and visitor access
  • Creation and processing of ID cards
  • Track visitor cards and grant access through the Verdaka system
  • Order ID card materials
  • Greet and direct visitors
  • Manage reception sign-in system
  • Issue staff and visitor parking permits
  • Manage office supplies and stationery
  • Ensure the stationery room is organized
  • Receive and dispatch deliveries
  • Manage mail collection and dispatch
  • Track express post envelope usage
  • Organize the monthly all staff meeting
  • Recall and return archive boxes
  • Manage Shred-X bins
  • Book taxi services
  • Bank cheques and cash
  • Undertake administrative support for committees
  • Model our values in day-to-day work
  • Develop strategies for client-focused customer service
  • Work within code of conduct and policies
