Administrative Coordinator Role

This is an administrative coordinator position that requires a multifaceted individual to be the face of the organization based in Sydney. The role involves being the first point of contact for any guests and general office management.

The key responsibilities include:

  • Managing onboarding of new starters from hire through to day one, including contract generation, workday initiation, candidate to employee engagement, welcome emails, office setup, and leader engagement.
  • Supporting coordination of HR projects as required.
  • Managing ANZO induction coordination, including dates, attendees, invites, rooms, catering, and dinner schedules.
  • Maintaining employee files following local regulations and organizational record-keeping requirements.
  • Supporting employee engagement initiatives and activities, such as conferences, Christmas parties, and Thanksgiving events.
  • Administering the local fleet program.
  • Managing offboarding of employees from resignation to exit interview and outplacement.
  • Providing general ad-hoc administrative support, including townhall data, workday reporting.
Office Management

As the face of the organization, you will meet and greet all visitors with helpful enthusiasm, maintaining reception operating hours and switchboard. You will oversee incoming and outgoing couriers, manage the reception and HR inbox, and host external guests as required. You will also provide general office management support ensuring the office is functioning efficiently and safely.

Liaise with third-party service providers for comprehensive facilities management, including maintenance and emergency services. Oversee workplace health and safety standards, ensuring the office environment is secure and free from hazards. Maintain a register of fire wardens and first aid officers, process administrative invoices, and manage related office expenses.

Oversee office logistics, including floor planning, equipment, and stationery supplies. Order and maintain kitchen supplies. Ensure compliance with organizational policies and procedures.
