Event Coordinator Role

The Event Coordinator is responsible for overseeing the planning and execution of events, exhibitions, and conferences.

  • Create and manage event project timelines to ensure timely completion and alert teams to approaching deadlines.
  • Oversee the completion of on-site documents, including site checklists and running sheets.
  • Work closely with operations to deliver events, assist with venue selection, ordering furniture, catering, and AV equipment, and develop run sheets.
  • Manage meeting room bookings, including catering and AV requirements.
  • Implement and monitor coordinator processes and procedures, communicating changes to the team.
  • Manage travel and accommodation bookings for staff assisting at events.
  • Create and manage online exhibitor manuals, drafting communication about approaching deadlines.
  • Draft exhibitor communication, including welcome letters and deadline information.
  • Produce detailed itineraries for guest speakers, including travel, accommodation, and visas (where required).

For this role, you will need superior attention to detail, strong organizational capabilities, and excellent interpersonal, verbal, and written communication skills.
