Job Summary

We are seeking an exceptional administrator to join our team in a supervisory role. As a key member of the administration team, you will be responsible for overseeing and delivering efficient administration, line managing an operational admin team, and supporting various brokerage and clinical admin functions.

Your primary focus will be on monitoring the caseload of your team, supporting with hospital discharges for AACC patients, and ensuring seamless communication with stakeholders.

Job Responsibilities
  1. To support and line manage the AACC Operational Admin Team through delivery of efficient and effective administrative and data management processes and procedures.
  2. Where required, work closely with local authority teams to ensure continuity between services.
  3. Accurately inputting into, monitoring and reporting from a range of computerised systems, regularly validating data to ensure accuracy.
  4. Generate accurate data to enable local regional and national reporting to be undertaken.
  5. Undertake quality audits, ensuring the correct documentation has been completed correctly for each active case before progression to sign off.
  6. Coordinate local sign off panels.
  7. Use effective management skills to ensure that the implementing package of care is planned, any adjustment to plans escalated to the locality manager as required and developing and updating relevant documentation.
  8. Provide support to other members of the team as part of organisational development.
  9. Deal with and resolve complex non-clinical individual, provider and invoice queries in an efficient and timely manner.
  10. Work within established policies, procedures, protocols and systems to ensure confidentiality of information, quality standards and performance.
  11. Ensure effective and timely collation and preparation of relevant documentation in support of service delivery.
  12. Undertake all Operational Admin processes including setting up of appropriate care packages and booking of assessments.
  13. Daily oversight of trackers to ensure KPIs are met.
  14. Ensure that all written and verbal complaints, comments and suggestions are dealt with appropriately, resolving where possible and escalating when appropriate.
  15. Organising meetings and larger events as required.
  16. Oversee and implement a training structure for all staff.
  17. Ensure compliance with all statutory and mandatory training.
  18. Maintain an electronic database for tracking, monitoring and reporting on the active caseload, and that the service can be effectively reported.
  19. Work closely with colleagues across AACC and the ICBs to ensure a joined-up approach to improving services is in place.
  20. Establish and maintain close working relationships with AACC team, ICBs, providers and other stakeholders.
  21. To work with regard to the ICBs policies and procedures at all times.
Required Skills and Qualifications
  • Educated to HNC level; or A' levels with relevant experience.
  • Evidence of recent and ongoing CPD/learning.
  • Demonstrable experience of line management.
