Key Responsibilities- Provide reception services, including greeting visitors, customers, and employees, and ensuring a positive first impression.
- Manage meeting room bookings, calendars, and catering requests, ensuring timely delivery of services.
- Coordinate and arrange meeting room setups, including layout, equipment, and supplies.
- Monitor and manage stock levels of consumables, including stationery, hygiene supplies, and kitchen supplies.
- Process and distribute incoming mail, prepare and dispatch outgoing mail, and arrange courier services for parcels.
- Liaise with the Corporate Facilities & Workplace Supervisor to ensure tasks are completed in accordance with team Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
- Follow established processes and guidelines to meet organisational and team goals, ensuring compliance with company policies and standards.
- Monitor, organise, and prioritise incoming emails to ensure timely responses, and collaborate with other teams to address enquiries from the community.
- Answer incoming calls from the community and address their enquiries or concerns in a courteous and efficient manner.
- Support activities across locations, ensuring that both facilities operate smoothly.
- Assist with facilities management, including maintenance requests, staff locker management, facility inspections, and vendor management.
- Print and issue/dispatch ID cards for employees, contractors, and visitors as required, ensuring accuracy and compliance with security standards.
We are looking for an individual with previous experience in reception, call centre operations, customer service, or administrative support. You will possess strong customer service skills, stakeholder management, and interpersonal, written, and oral communication skills. You will also have strong organisational and multitasking abilities, proficiency with Microsoft Office suite of programs, and the ability to undertake manual handling tasks in a safe manner.
