Senior Medical Administration Manager Position

We are seeking an experienced medical administration professional to join our team as Senior Medical Administration Manager. This is a unique opportunity to take responsibility for administrative functions, drive continuous improvement and mentor your team.

Main Responsibilities:
  1. Optimize administrative workflows and processes.
  2. Develop new procedures, checklists, templates and forms to enhance efficiency.
  3. Assist with recruitment, selection and onboarding of new staff members.
  4. Design and deliver role-based Induction Training Programs to support team development.
  5. Plan, publish and coordinate changes to rosters, and back-fill roles as required to ensure continuity.
  6. Oversee team administrative activities, provide guidance and resolve issues promptly.
  7. Coach and develop the skills, knowledge and abilities of team members to achieve their full potential.
  8. Act as administrative liaison for healthcare professionals, including doctors, practitioners and midwives.
  9. Maintain and update administrative IT systems to ensure they remain current and effective.
  10. Provide accurate and timely administrative reporting and recommendations to support decision-making.
Requirements:
  • A minimum of 3 years' supervisory experience in General Practice, Allied Health or Specialist Medical Practice (OBGYN would be advantageous).
  • Proven expertise in streamlining workflows and developing procedures, checklists and forms.
  • A sound understanding of medical protocols, practices and terminology is essential.
  • Excellent knowledge of patient experience principles, practices and techniques is required.
  • Familiarity with Medicare/Private fund billing & claims processes, and item numbers is necessary.
  • A sound understanding of the Privacy Act as it relates to medical records is crucial.
  • A working knowledge of employment, WHS and legislation is essential.
  • Experience in booking patients and rostering accordingly is required.
  • An excellent command of the English language and grammar, both verbal and written, is necessary.
  • Proficiency in Microsoft applications, including Flow-charter or similar, is required.
  • Experience using medical software, preferably Clinic to Cloud, is advantageous.

Qualifications and Due Diligence Requirements:
  • A Certificate IV in Business Administration, Health Administration or Management is preferred.
  • A Certificate IV in Training and Assessment or the Workplace Trainer Skill Set is desired.
  • A Department of Human Services Working with Children Check is mandatory.
  • A National Police Check (or willingness to obtain) is required.
  • A First Aid Officer (+CPR) and Emergency Warden certification (or willingness to train) is necessary.
  • A Pre-Employment Medical clearance is required.
  • Possession of permanent work rights to live and work in Australia is essential.
